    We care deeply about your privacy. Our coaching practice specifically serves people who are reclaiming agency and rebuilding identity, and we understand that trust and discretion are foundational to our work. This policy explains exactly what we do — and what we will never do — with your information.

    1. Information We Collect

    1.1 Information You Provide Directly

    • Contact information: name, email address, phone number, mailing address
    • Account information: username, password (stored in hashed form — we never see your actual password)
    • Intake form responses: coaching goals, preferences, relevant background (collected only from clients who choose to become coaching clients)
    • Payment information: processed by Stripe; we see limited details (e.g., the last four digits and expiration date of your card) but never your full card number or security code
    • Communications: messages you send us via email, the client portal, or contact forms

    1.2 Information Generated During Services

    • Session notes: we may keep private notes related to your coaching sessions for professional development and continuity. These notes are stored encrypted and are not shared with third parties except as described in Section 3 or as required by law.
    • Billing and payment history: records of invoices, payments, and scheduled installments

    1.3 Information Collected Automatically

    • Usage data (Google Analytics): pages you visit, approximate geographic location (city-level), browser type, referring source, time spent on pages, and similar non-identifying information
    • Cookies and similar technologies: our website uses cookies to support Google Analytics and to maintain your login session on the client portal. You can control cookies through your browser settings.
    • Engagement data: for customers and email subscribers, we keep our own records of how you interact with content we’ve sent you, such as which course pages or emails you open, when you download a workbook, and when you start a video. We use this only to understand engagement and improve our programs. We never sell it or share it for advertising.

    2. How We Use Your Information

    We use your information to:

    • Provide coaching services and fulfill the Coaching Agreement
    • Process payments and maintain billing records
    • Communicate with you about sessions, invoices, and account activity
    • Send transactional emails (e.g., session reminders, invoice notifications, password resets)
    • Send our newsletter, if you have opted in
    • Deliver free resources (e.g., our ebook) that you request
    • Improve our website and understand how visitors find and use it
    • Comply with legal obligations (e.g., tax recordkeeping)
    • Defend against fraud, abuse, and security threats

    3. How We Share Your Information

    We share your information only as described below. We do not sell your personal information, and we do not share your information for third-party advertising purposes.

    • Resend — transactional and newsletter email delivery
    • Calendly — scheduling free consultation calls (Calendly receives the name, email, and scheduling preferences you provide when booking a consult)
    • Twilio — SMS notifications (where applicable)
    • Google Analytics — website analytics
    • Replit — hosting infrastructure for our client portal and related backend systems

    Each provider has its own privacy policy governing how it handles information.

    3.2 Legal Requirements

    We may disclose your information if required to do so by law, valid legal process, or to protect the rights, property, or safety of Carrie King Coaching, our clients, or others. This includes, without limitation, circumstances described in the confidentiality section of the Coaching Agreement (e.g., reasonable suspicion of harm to self or others, abuse, or a court order).

    3.3 Business Transfers

    If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the protections of this Privacy Policy.

    3.4 With Your Consent

    We may share your information with your explicit consent — for example, to coordinate with a service provider of your choice.

    4. Newsletter and Email Communications

    If you sign up for our newsletter (either directly or by downloading our free ebook), we will retain your email address for the purpose of sending you our newsletter when we have one to send. We do not sell, rent, or otherwise share newsletter subscribers' email addresses with anyone. We will never use your email for any purpose other than sending you newsletter content or responding to your requests.

    You can unsubscribe at any time via the link in any newsletter email. Your email will be removed from the newsletter list promptly.

    5. How We Protect Your Information

    We take data security seriously. Our technical safeguards include:

    • Encryption at rest: sensitive personal information stored in our client portal (including email addresses, intake form responses, and coaching notes) is encrypted using AES-256 encryption.
    • Encryption in transit: all data transmitted between your browser and our servers is protected by TLS (HTTPS).
    • Access controls: only authorized personnel have access to your information, and access is limited to what is necessary to deliver the Services.
    • Payment security: payment card information is stored by Stripe, a PCI-DSS Level 1 certified provider. We never see or store your full card number or security code.

    No method of transmission or storage is 100% secure. If a data breach affects your information, we will notify you as required by applicable law.

    6. Data Retention

    We retain your information for as long as necessary to provide the Services, comply with legal obligations (for example, tax recordkeeping), resolve disputes, and enforce our agreements. When information is no longer needed, we securely delete or anonymize it.

    Specific retention timelines:

    • Active client records: retained for the duration of your coaching relationship and for seven (7) years thereafter (for tax, legal, and business-record purposes)
    • Signed agreements: retained indefinitely as legal records
    • Newsletter subscribers: retained until you unsubscribe
    • Google Analytics data: retained according to our Google Analytics configuration (currently 14 months)

    7. Your Rights

    Regardless of where you live, you may:

    • Access: request a copy of the personal information we hold about you
    • Correct: ask us to correct information that is inaccurate
    • Delete: ask us to delete your information (subject to legal retention requirements)
    • Port: receive a copy of your information in a common electronic format
    • Object: object to certain uses of your information
    • Withdraw consent: withdraw consent where processing is based on consent (e.g., newsletter)
